Technical Services Coordinator | Operations
DESCRIPTION
Overall Responsibility: Gather and condense technical information from multiple sources to ensure clear, accurate and timely communication amongst all internal departments and outside parties.
RESPONSIBILITIES
• Reviewing client technical specifications for production of live events
• Researching additional information as needed to help clarify specifications
• Entering information into system and double checking for accuracy and clarity
• Creating diagrams and updating as necessary
• Confirming show logistics (i.e. securing lift, electrical, storage etc.)
• Partnering with Sales to understand show logistics and meet client expectations
• Updating IntelliEvent information throughout process and communicating changes to appropriate departments
• Maintaining Sales Force information
• Creating and reconciling final client invoice
• Reviewing cross rental and labor invoices as a backup to the Project Manager
• Build event binder and filing of hard and soft copies of information upon completion
• Responsible for the accurate communication of show information to all departments (management, warehouse, on site technicians, accounting and client)
• Work with Sales in advance to create upcoming show information
• Maintain city and facility information as gathered (for future events)
• Archive paperwork/show information yearly as needed
• Additional duties as necessary
Consults with: All level of management including Sales Managers, Project Managers, Warehouse, On Site Technicians,Crew Manager, Accounting, Union Representatives, Additional Labor Sources as well as clients and various staff on site at facilities world wide.
Reports to: Technical Services Supervisor.
EXPERIENCE & QUALIFICATIONS
• Hands on AV experience – minimum 5 years (must have knowledge of equipment and know how to estimate appropriate labor)
• Ability to self-monitor workload and work with supervisor to prioritize accordingly
• Very strong attention to detail
• Excellent communication skills
• Knowledge of basic accounting
• Working knowledge of Excel
• Knowledge of databases and ability to learn new software (IntelliEvent, Sales Force, Meeting Matrix)
• Willingness to learn (about new AV equipment, systems, procedures etc.)
• Flexibility with work schedule
